About the Role
We are seeking an experienced and highly organized Personal Assistant to support our Managing Director (MD) in the MDO department. This role is pivotal in ensuring seamless day-to-day operations, enabling the MD to focus on strategic initiatives. The ideal candidate will possess exceptional communication skills and a strong ability to manage multiple tasks efficiently in a fast-paced environment.
Key Responsibilities
- Manage and maintain the MD's calendar, scheduling appointments, meetings, and travel arrangements to optimize time management.
- Coordinate domestic and international travel logistics, including flights, accommodations, and transportation.
- Prepare and distribute meeting agendas, taking minutes and following up on action items to ensure timely completion.
- Serve as the primary point of contact for internal and external communications on behalf of the MD, demonstrating professionalism and discretion.
- Conduct research, compile reports, and create presentations to assist the MD in decision-making processes.
- Handle confidential information with the utmost integrity and professionalism, ensuring compliance with data protection regulations.
- Organize company events, meetings, and conferences, ensuring all logistics are meticulously planned and executed.
- Assist in budget management and expense reporting, ensuring accurate and timely submissions.
- Foster and maintain positive relationships with stakeholders, clients, and team members.
- Actively contribute to process improvement initiatives and support the MD in implementing organizational changes.
Required Qualifications
- Master's degree in Business Administration (MBA) or related field.
- Minimum of 10 years of proven experience as a Personal Assistant or in a similar role supporting senior management.
- Demonstrated ability to manage complex calendars and travel itineraries effectively.
- Excellent verbal and written communication skills, with a keen attention to detail.
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
Preferred Qualifications
- Experience working in a corporate environment, preferably in the MDO sector.
- Familiarity with project management tools and software.
- Ability to work independently and as part of a team in a dynamic work environment.
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management and scheduling software (e.g., Asana, Trello).
- Basic financial literacy for budget management and expense reporting.
